Inventory tracking software — free

Not sure how much stock you actually have on hand, what's already reserved for orders, and what you need to reorder? While you only carry a few items, stock levels live in your head and across a couple of Excel tabs — but as your range grows, the confusion begins: formulas break, two people corrupt the same file at once, and what's on the shelf turns out to be different from what's in the spreadsheet. Free inventory tracking software keeps accurate stock levels in real time: every item has its own card, movement history and an on-hand quantity you can see at any moment. Receiving, sales and write-offs recalculate quantities automatically, so inventory tracking stops being an evening chore and becomes a transparent tool whose numbers you can rely on when purchasing and planning.

Accurate stock levels in real time

Every item carries an up-to-date on-hand quantity. Receive goods, make a sale or write something off — the stock level recalculates automatically, with no manual count at the end of the day. What's in the system matches what's on the shelf, so you no longer reconcile spreadsheets by hand or run into surprise shortages during shipping.

Reservations for orders

When an item is promised to a customer, it gets reserved and leaves the available stock. You see "total", "reserved" and "available" separately — and never sell something you no longer have. Two managers can't sell the same unit, and a cancelled order automatically returns the item to available stock.

Product cards

Name, SKU, photo, price, unit of measure and category — a complete card for every item. Handy search and filters across the whole catalog, even with thousands of products. A card is easy to find by name or SKU, and prices can be updated in bulk without editing each entry one by one.

Minimum stock and purchasing

Set a threshold for each item and the software highlights what's running low and prompts you to reorder from your supplier. No more sudden "out of stock" in the middle of peak demand: you restock on time and don't lose sales because a fast-moving item is missing from the warehouse.

Stock movement history

A full log for every item: when it arrived, how much was sold, what was written off and by whom. You can always see where stock went and where a shortage came from, so at stocktake you can explain every movement instead of blaming discrepancies on a mysterious "mis-grading".

Top-products dashboard

Which items sell best and which sit there as dead weight. Turnover analytics help you avoid freezing money in excess stock and remove from your range, in good time, the things that only take up space. You plan purchases on real sales figures rather than gut feeling.

Why free

The service is free. We earn from partner integrations (Nova Poshta, banks, payment providers) and paid custom development for your processes — inventory tracking itself stays free, with no time limit and no cap on the number of items. The free base version is how we build trust: as a business grows and needs team access, deeper analytics or extra integrations, some customers move to paid features. So you can manage your catalog, stock levels and stock movement at no cost for exactly as long as you need.

FAQ

Why is inventory tracking software better than Excel?

In Excel you have to fix stock levels by hand, formulas break, and two people corrupt the same file at once. The software recalculates the stock level automatically after every sale or receipt, tracks reservations and movement history — the data is always current and available to your whole team. You don't hunt for the "right" version of the spreadsheet or balance the numbers in the evenings: tracking happens on its own as you work with your goods.

How do stock levels and reservations work?

For each item you see three values: total in the warehouse, how much is reserved for orders and how much is actually available to sell. When an item is promised to a customer it automatically goes into reservation, so you won't sell the same unit twice. After shipping, the reservation becomes a write-off, and if the order is cancelled the item becomes available to sell again — with no manual corrections.

Can I import my existing product catalog?

Yes. Product cards with names, SKUs, prices and opening stock can be uploaded as a list, so you don't enter each item by hand. After the import the software starts tracking inventory right away, so you can move over from an Excel spreadsheet or a paper notebook the same day. Your data stays yours — you can always export it back.

Will the software tell me when it's time to reorder?

Yes. For each item you set a minimum stock level, and when the quantity drops below the threshold the item is highlighted in the reorder list. That way you restock on time and avoid downtime from a missing fast-moving item. Instead of remembering the shortage only at the empty shelf, you get a signal in advance and have time to order from your supplier.

How is inventory tracking different from warehouse management?

Inventory tracking answers the question "what and how much do I have" — it's the item cards and current stock levels. Warehouse management is the operations that change those levels: receiving stock, write-offs, transfers between warehouses and the full movement log. In practice they work together: inventory tracking shows the total, while warehouse management shows every movement that builds that total.
